Placing an order for the products like the conference bags for a specific occasion like a conference or such cases would be fine. However at times it may so happen that the conference is postponed or cancelled. In such cases you will require cancellation of the order placed. The business world is tricky and unless you know the way of dealing with such cases it may turn out to be a huge losing proposition for you.
Cancellations in any case have to be notified and such notification has to be in writing. Some of the providers may charge you dearly for such cancellations and it may be something in the range of $100. Hence you must be careful about the terms and conditions of the deal whenever you place orders for such items that are even specific like the conference folders. Worse, they might charge for each consignment if your order was bigger enough to be of several consignments.
Similarly, unless you specify clearly the color, size and position of the printings the provider will imprint them at his discretion. Such printing may not suit your choice or requirements. Moreover the providers may not guarantee you 100% match for Pantone colors. Finally, when you place orders for the promotional merchandise you must also appreciate that you should prohibit use of your logos and marks elsewhere without your explicit permission. Otherwise the manufacturers may used them at their will.
